This role will help ensure that donor outreach, revenue data, and reporting processes are well organized, accurate, and timely. Working across all revenue streams, the Revenue Operations Coordinator will help maintain reliable systems, support CEO engagement with major donors, and provide Partnership leadership and board with clear, consistent insight into revenue activity and progress.
The Revenue Operations Coordinator will report to the Chief of Staff and will work daily with the CEO as the administrative engine behind his major-donor and principal-gift activity.
Key Responsibilities:
- Manage and maintain the organization’s revenue system, including HubSpot records, deals, pipeline stages, key fields, lists, and related revenue data.
- Ensure revenue data is accurate, complete, and current by resolving duplicates, missing information, stale records, and other data-quality issues.
- Track relationship assignments, handoffs, next steps, follow-ups, commitments, and stalled opportunities to support clear ownership and timely movement of donor, funder, and prospect activity.
- Flag revenue opportunities or follow-up items that require attention from the Chief of Staff, CEO, or other senior leaders.
- Coordinate scheduling and logistics for donor, funder, and prospect meetings, including coordination with board members, external introducers, and other stakeholders.
- Prepare profiles, briefing materials, research, and other information for donor and prospect conversations.
- Capture meeting notes and enter conversations, next steps, and follow-up items into the revenue system promptly and accurately.
- Support recurring revenue reporting with the Chief of Staff, including data pulls, compilation, report preparation, and updates for leadership and board visibility.
- Assist the Director of Data and Analytics with dashboards, reports, data requests, and other analytics needs as capacity allows.
- Keep revenue activity aligned with recurring reports, so leadership has timely, accurate information.
- Prepare donor acknowledgments, stewardship communications, annual appeal materials, planned-giving administrative support, and other donor communications on schedule.
- Provide administrative support for fundraising events, campaigns, and revenue-related initiatives, including the annual event.
- Collaborate with colleagues across the organization to support revenue goals and advance the Partnership’s mission and values.
- Perform other job-related duties as assigned.
