Growing together.The Patient Care Coordinator functions as an integral member of the team and is the first point of contact for all people inquiring about the provider's practice. The primary role is to organize the practice's daily activities and paperwork. The Patient Care Coordinator is responsible for the completion of set processes and protocols. Works cooperatively with all members of the care team to support the vision and mission of the organization, deliver excellent customer service and adhere to Lean processes. Supports the teams in meeting financial, clinical and service goals
Working Hours: A 40-hour work week,Monday - Friday, between the hours of 8:00am-5pm with the flexibility to stay later on clinic days
Location: 1229 Madison Street, Suite 1600, Seattle, WA 98104
Primary Responsibilities:
- Exhibits empathy, courtesy, competence, efficiency, and care
- Schedules appointments and procedures, following standard guidelines
- Uses multiple computer and phone systems to fulfill patient needs over the phone
- Verifies patient information, while documenting in their Electronic Health Record (EPIC)
- Advises patients of their responsibilities regarding insurance and referral information
- Greet customers into the practice and provide instruction and/or direction as necessary on the phone
- Schedule and coordinate all patient appointments as directed
- Prepare all documentation and records with accuracy as directed or necessary for the patient's care
- Meet or exceed the performance measures established by the Practice Management Department
- Follow establish policy and procedures related to the position
- Participate and contribute to a team-based environment
- Maintain a team supportive attendance record
- Obtain accurate and updated patient information, such as name, address, insurance information
- Perform insurance verification on the date of service
- Scheduling procedures in an organized and efficient manner
- Knowledge of medical terminology and procedures and requirements
- Ability to obtain authorizations for the medical procedures
- Schedule appointments using approved scheduling guidelines
- Assist coworkers as needed to assure smooth office operation and delivery of excellent service through teamwork
- Demonstrate respect for patients and Optum staff by presenting a friendly, courteous manner at all times and maintaining patient confidentiality
- Obtain patient signatures for required documents
- File and maintain medical records
- Confirms and schedule appointments
- Answering incoming and outgoing telephone calls promptly and courteously,
- Perform referral documentation promptly
- Performs certain follow-up services for patients in a prompt and courteous manner, such as scheduling specialist appointments, scheduling follow-up appointments and obtaining copies lab results or specialist reports
- Adhere to the standards identified via Sparq regarding Optum Employee Policies
- Work cohesively with fellow employees to achieve specific team goals
- Comfortable working in high pace environment
- Participate in planning, coordinating, and implementing care in conjunction with the multidisciplinary team in accordance with the Plan of Care
- Assure the continuity of care through scheduling and tracking systems
- Provide effective communication to patient / family team members and other health care professionals as evidenced by documentation, case conferences, communication notes, and evaluations
- Comply with administrative policies to ensure quality of care
- Demonstrate precision and efficiency in scanning documents and monitoring the fax server, retrieving and / or scanning documents and assigning to the appropriate electronic chart
- All employees are expected to keep abreast on current medical requirements relevant to their position, which includes maintaining patient confidentiality and abiding by all HIPPA and OSHA requirements
- Ability to be detail oriented performing tasks with in the office
- Understand and maintain highest quality customer service that is consistent with Optum's efforts in becoming a High-Performance Organization
- Follow OSHA/WISHA (including usage of PPE) guidelines
- Follow HIPAA regulations
- Adapt and perform effectively in a continuously changing environment, and in occasional difficult situations
- Performs other duties as assigned

Required Qualifications:
- High School Diploma/GED
- 1+ years of computer proficiency experience (multitasking through multiple applications including Microsoft Outlook, Excel, and Word)
- 1+ years of experience working in a medical office position performing duties such as scheduling appointments, checking patients in/out, insurance verification, collecting co-pays and balances due, and maintaining medical records
- 1+ years of experience working knowledge of Epic EMR software
Preferred Qualifications:
- Associate's degree of higher
- Experience with outpatient surgical practice
- Experience taking inbound and outbound calls
Soft Skills:
- Ability to work independently and maintain good judgment and accountability
- Demonstrated ability to work well with health care providers
- Strong organizational and time management skills
- Ability to multi-task and prioritize tasks to meet all deadlines
- Ability to work wellunder pressure in a fast-paced environment
- Excellent verbal and written communication skills; ability to speak clearly and concisely, conveying information in a manner that others can understand, as well as ability to understand and interpret information from others
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $17.98 to $32.12 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
