Monday to Thursday, 7:45am – 4:45pm
Friday, 7:45am – 12pm
Position Summary
The Office Manager plays a critical role in supporting the administrative operations including select accounting functions of JW Industries Group. This role focuses on managing daily office and administrative operations to ensure a wellorganized, efficient workplace. In addition, the position supports select accounting functions such as payroll review, invoice and receipt processing, and bank and credit card reconciliations.
This role is ideal for an experienced administrator or accounting support professional who has worked in multiple accounting systems such as Sage, Oracle, Deltek or advanced accounting systems, and who is comfortable working with financial data, structured processes, and deadlines. The successful candidate is detailoriented, dependable, and capable of supporting accounting accuracy while serving as a professional, reliable presence in the office.
Key Responsibilities
Office Management
- Ensure the office is open and operational ready by 8:00am.
- Answer phones and serve as the first point of contact with a confident, and professional presence.
- Manager office supplies and vendors.
Administration
- Manage calendars, meetings, and scheduling.
- Communicate clearly with leadership, staff, and external partners.
- Maintain organized and accurate files.
- Support project tracking, reporting, and compliance documentation.
- Coordinate travel and logistics.
- Prepare professional correspondence.
- Support onboarding and coordination with external IT services.
Accounting Support
- Supports day-to-day accounting functions using Deltek Costpoint.
- Reconcile and process invoices and receipts on a regular basis.
- Supports payroll inputs and coordinates with accounting.
- Track invoices and follow up on accounts receivable.
Requirements
Minimum Qualifications
- Associate’s degree or equivalent combination of education and experience.
- 5+ years of administrative, or office management role.
- Experience using Sage, Oracle, Deltek or other advanced accounting systems. (Required)
- Willingness and ability to learn Deltek project and accounting systems.
- Proficiency using Microsoft Office Suite and calendars.
- Experience managing a file system.
- Comfortable using Apple hardware.
