Position Summary:
Arkansas State University College of Veterinary Medicine (CVM) invites applications for an Academic Year Coordinator. This is a 12-month, full-time staff position that operates within the CVM's Office of Clinical Programs. The Academic Year Coordinator provides administrative, curricular, and scheduling support for all fourth-year DVM rotations and student-related activities.
Duties & Responsibilities:
- Serve as primary coordinator for the fourth-year DVM student curriculum, including the creation and management of clinical rotation schedules in collaboration with lead veterinarians, the Director of Clinical Programs, and the Associate Dean for Clinical Programs.
- Serve as primary administrator for the scheduling software and learning management system (LMS) Canvas for fourth year students, including assisting students with account creation, canvas submissions, and liaising with IT as needed.
- Work with CVM leadership, the Office of Clinical Programs, and the University on initiatives that promote teaching, learning, and assessment excellence.
- Assist with maintaining accurate course information, syllabi, and schedules throughout the clinical year and communicate updates to students and faculty.
- Provide support for students during clinical rotations.
- Assist with the coordination of an early alert, tutoring, and remediation system for students in need of academic support during the clinical year.
- Work collaboratively with the CVM, Office of Student Programs and Admissions and the A-State Registrar's Office to assist with registration and related documentation related to fourth-year student enrollment.
- Work collaboratively with the Office of Student Programs and Admissions to track and manage student records.
- Assist in logistical and operational processes including honoraria payment
- Collects required assessments from students, Primary Clinical Educators, and Clinical Programs Lead Veterinarian
- Collects and analyzes data from clinical year assignments, evaluations, and all feedback from students, alumni, employers, and clinical sites
- Ensures that all assessment requirements are completed by students, sites, and lead veterinarians for timely grading and review by the Office of Clinical Programs.
- Manage the excused absences for fourth-year students and assist in managing the extended leave database, maintaining accurate records, and communicating with students and faculty regarding approvals and returns.
- Assist in organizing all Clinical Program events including continuing education for our clinical partners, yearly training events, and exhibitor events.
- Direct students to appropriate university and CVM services for academic, health, and personal support.
- Perform other duties as assigned.
Knowledge/Skills/Abilities:
Ability to build and maintain effective working relationships with students, faculty, and staff.
Ability to foster an inclusive, supportive, and engaging student environment.
Strong problem-solving skills and the ability to work independently and exercise sound judgment in student-related matters.
Strong organizational, communication, and interpersonal skills with the ability to engage with a range of student and veterinary populations.
Knowledge of higher education operations and academic coordination, preferably within a professional or health sciences program.
Familiarity or willingness to learn FERPA and other student privacy regulations.
Familiarity or willingness to learn learning management systems (e.g., Canvas), assessment platforms, and student information systems.
Ability to manage multiple priorities while maintaining accuracy and attention to detail.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite and willingness to learn new technologies.
Ability to gather and summarize student data.
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Occasional evening and weekend hours required for events

Minimum Qualifications:
An earned Bachelor's degree and one (1) or more years if experience in higher education.
An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Preferred Qualifications:
An earned Master's Degree in education, education leadership, higher education administration, college student personnel, data science, or similar field.
Two or more years of experience working with graduate level students, preferably for a professional degree program.
