Advancement Operations Coordinator job description
Requirements
Duties and Responsibilities:
Raiser’s Edge Data Entry
Work with the Director of Database and Donor Services to maintain overall data integrity and support cyclical projects, including year-end rollover, entry of incoming families, alumni class notes, student award entries, etc.
Ensure that supporting gift documentation and acknowledgements are attached to the appropriate gift records in a timely manner.
Update constituent biographical information and media files.
Provide additional data project support as directed.
Prospect Research
Execute prospect research screenings, conduct prospect research for selected constituents, and create confidential prospect profiles.
Event Support
Order event supplies, create name tags, enter RSVPs, and reconcile attendance information.
Office Support
Provide day-to-day administrative and operational support for the Advancement Team.
Provide visitor management for Miller House, monitoring building access and greeting visitors.
Support mailing projects by printing envelopes, creating merge documents, and assembling mailing pieces.
Support catering, logistical, set-up, and tear-down needs for volunteer and team meetings, phonathons, and other related events, etc.
Other duties as assigned.
Preferred Qualifications:
A Bachelor’s degree from an accredited college or university is preferred; two to four years of experience in a team office environment, preferably in a higher-education or independent school setting; and experience or willingness to quickly learn about educational fundraising processes and systems. Knowledge of relational database systems, a plus.
Skills and Abilities:
Professionalism, discretion, and the ability to maintain confidentiality of sensitive information.
Strong communication skills.
The ability to be organized, take initiative, problem-solve, follow through, and manage multiple priorities to ensure goals are met in a timely manner.
Proficiency in Raiser’s Edge, Microsoft Excel, and Google Sheets, or a demonstrated commitment to learn Raiser’s Edge, Google Workspace tools, Mac operating system environment, and new technologies.
