The Business Operations Coordinator is the organizational infrastructure behind Rev Partnership's ability to execute. This role builds and maintains the business operations, internal systems, logistics, and project tracking functions that allow the organization to run reliably and efficiently, freeing the CEO and Impact Team staff to focus on the strategic and relational work that drives regional impact.
Rev Partnership operates as a small-team organization with a growing portfolio of initiatives and a widening circle of external relationships. The Business Operations Coordinator establishes the operational foundation that supports this growth: maintaining systems, tracking organizational commitments, supporting events and convenings, and ensuring the administrative health of the organization does not depend on senior leadership time. The role is designed to provide operational continuity and to establish the operating infrastructure on which the CEO will rely. The project management function this role provides is technical support to the Directors, maintaining the tools, systems, and visibility that give Impact Team staff capacity to manage their own work more effectively. This role does not direct program work or make decisions on behalf of the Directors.
This role reports to and works in close support of the CEO. It does not hold strategic design authority, does not direct staff work, and does not represent the organization independently in external relationships. It is the operational backbone that makes everything else possible.
Core Responsibilities 1. Business Operations and Administration
Manages the day-to-day business operations of Rev Partnership, ensuring the organization's administrative and financial infrastructure functions accurately and on schedule.
Processes accounts payable and accounts receivable transactions, maintains accurate records, and coordinates with the organization's accounting support as directed by the CEO. Payroll review and approval is held by the CEO and is not part of this role.
Tracks organizational expenses against budget categories, flags variances to the CEO, and maintains up-to-date financial records for reporting and audit purposes.
Processes and routes organizational contracts and vendor agreements, coordinates the signature workflow, files executed documents, tracks renewal dates, and maintains a current vendor and contract record in organizational systems. Does not negotiate contract terms or manage counterparty relationships; those functions belong to the Director or staff member leading the relevant work.
Manages organizational insurance coverage, license renewals, compliance filings, and any regulatory reporting requirements, coordinating with external legal or accounting counsel as directed.
Maintains organized and current records in the organizational shared drive, ensuring documents are filed consistently, naming conventions are applied, and the filing structure is accessible to all staff.
Manages organizational technology accounts, tool subscriptions, and access permissions, ensuring all staff have appropriate access and that system accounts are tied to Rev Partnership as an entity.
2. Project Management Support and Workplan Visibility
Provides technical project management support to Rev Partnership's Directors, maintaining the systems and tools that give program staff clear visibility into workstream progress and reduce the administrative overhead of tracking their own capacity and commitments. This role operates the systems; the Directors own the decisions. It tracks and coordinates; it does not set priorities, direct program work, or make decisions on behalf of program staff.
Administers and maintains Rev Partnership's project management system (Monday.com) as a technical support function for the Directors. Keeps workstreams current, records milestones, and ensures the system reflects active commitments as entered and directed by program staff. Does not create or modify program priorities independently.
Maintains the organizational calendar, including initiative milestones, convening dates, Board and Advisory Council meetings, and internal planning events. Flags scheduling conflicts or capacity pressures to the CEO for decision. Calendar entries and priorities are set by program staff and the CEO; this role keeps the system current and accurate.
Prepares workplan summaries and dashboard updates that give the CEO visibility into organizational progress and upcoming commitments, drawn from information entered by program staff into organizational systems. Distributes to the team as directed.
Coordinates logistics for internal planning sessions, team meetings, and organizational events in partnership with relevant staff, ensuring scheduling, materials, and preparations are handled in advance.
Tracks follow-up items and action commitments from team meetings and planning sessions, distributes summaries, and follows up on outstanding items as directed by the CEO.
3. Event and Convening Coordination Support
Provides logistical coordination support for Rev Partnership's external-facing events and convenings. Event strategy, stakeholder relationships, program content, and narrative are owned by the CEO, Development and External Affairs Director, and Regional Impact Director. This role handles the operational infrastructure that makes events run.
Coordinates event logistics in partnership with the Development and External Affairs Director and Regional Impact Director: venue or platform selection, vendor contracting, catering, audiovisual and technology setup, and day-of operational support.
Manages participant registration, invitation communications, confirmation tracking, and attendance logistics for Rev Partnership convenings and signature events.
Prepares and assembles participant materials, name badges, printed collateral, and event supply kits as directed by program staff.
Manages event vendor relationships and contracts at the coordination level, tracking deliverables, coordinating payments, and maintaining vendor records.
Provides on-site or virtual day-of operational support for convenings, managing logistics, troubleshooting, and ensuring the event environment supports the program content.
Compiles post-event documentation including attendance records, feedback summaries, and vendor invoices, and files all event records in organizational systems.
4. Board and Advisory Council Support
Coordinates the logistical and administrative functions that support the effective operation of Rev Partnership's Board of Directors and Advisory Council.
Coordinates Board and Advisory Council meeting logistics: scheduling, location or platform setup, materials preparation and distribution, and attendance tracking.
Prepares and distributes Board meeting packets under the direction of the CEO, ensuring materials are complete, organized, and delivered on time.
Records and distributes meeting minutes and action item summaries for Board and Advisory Council meetings as directed.
Tracks Board action items and follow-up commitments, maintaining a current log and flagging outstanding items to the CEO.
Maintains accurate and current records of Board member contact information, terms, committee assignments, and governance documents in organizational systems.
Coordinates Board member onboarding logistics, including materials preparation and scheduling, as directed by the CEO.
5. Chief Executive Officer Support and Onboarding Administration
Supports the operational effectiveness of the CEO, providing coordination and administrative support that enables the CEO to focus on strategic and relational work.
Manages the CEO’s calendar: schedules meetings, coordinates across participants, maintains calendar accuracy, and ensures the ED has preparation time before significant meetings.
Prepares briefing materials, background documents, and meeting summaries for the CEO as requested.
Supports new employee onboarding at the administrative level: coordinates paperwork completion, benefits enrollment, technology access setup, and orientation logistics. Does not maintain personnel files; that function is held by the CEO.
Manages incoming correspondence and communications routing for the CEO, ensuring time-sensitive items are flagged and routine items are handled or delegated appropriately.
Coordinates the CEO’s preparation for Board meetings, including materials assembly, logistics briefing, and follow-up tracking after meetings.
Requirements
Experience with project management systems, particularly Monday.com or comparable platforms, and the ability to administer and maintain organizational systems reliably.
Demonstrated experience in operations coordination, office management, or administrative management in a nonprofit, education, or comparable professional environment.
Strong organizational skills with proven ability to manage multiple concurrent workstreams, maintain accurate records, and meet deadlines consistently without close supervision.
Experience coordinating logistics for events, meetings, or convenings, including vendor management, participant communications, and day-of support.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with Google Workspace and virtual meeting platforms.
Strong written communication skills, including the ability to produce professional correspondence, meeting summaries, and organizational documentation.
Basic familiarity with nonprofit financial processes, including accounts payable, accounts receivable, and expense tracking. Experience working with accounting software a plus.
High degree of professional discretion and judgment. This role handles organizational financial information, personnel logistics, and Board-level materials. Confidentiality is essential.
Comfort working in a small, virtual-first organization where roles are broad, priorities shift, and initiative is expected. Ability to identify what needs doing and act without waiting to be directed on routine matters.
Experience supporting senior executives or organizational leadership preferred.
Associate's degree required. Bachelor's degree preferred. Equivalent professional experience considered.
