Overview
About the Role:
The Vendor Coordinator is responsible for the administrative support of vendor management tasks. They will be responsible for ensuring seamless onboarding, compliance tracking, schedule management, and documentation within the Peazy platform. This role works closely with the Vendor Manager, who maintains accountability for overall vendor performance and outcomes.
Responsibilities
What You'll Do:
Peazy Administration & Compliance Oversight:
- Responsible for loading all new vendor work schedules into Peazy and ensuring alignment to approved Schedule 1 documents.
- Adjust vendor schedules as needed to reflect changes and maintain consistency with Schedule 1s.
- Prepare Schedule 1s in response to change requests and maintain supporting documentation.
- Maintain all administrative functions within Peazy, including data entry, updates, and document uploads. This includes managing all compliance-related documentation such as Certificates of Insurance and Diversity Certificates.
- Monitor vendor compliance in Peazy and follow up with vendor partners to resolve issues. Escalate non-compliance trends or unresolved issues to the Vendor Manager.
- Provide Tier 1 Peazy training support and troubleshooting for existing vendor partners.
Contract & Documentation Management:
- Ensure all vendor documentation is up to date and proactively follow up to prevent lapses in compliance or regulatory alignment.
- Upload and organize contract-related documents in Peazy for easy access and audit readiness.
Reporting & Communication:
- Prepare and distribute regular reports related to task status, vendor billing, and compliance metrics.
- Communicate effectively with internal teams and vendor partners to ensure alignment and address challenges.
- Support the Vendor Manager by providing data and documentation needed for escalations, audits, and vendor reviews.
