Summary of the role:
The Senior Project Coordinator will serve as the central point of coordination across all project teams, ensuring clear communication, accurate monitoring of project progress, proactive follow-up on delayed deliverables, effective document control and timely submission of all project outputs. This role carries no approval authority for design or contractual changes and is limited to coordination, follow-up, tracking, documentation control, and reporting.
Key Responsibilities:
- Act as the primary coordination and communication focal point across all project teams.
- Monitor, track, and report the status of all project activities and deliverables.
- Proactively follow up on delayed submissions and notify teams of upcoming, missed, or at-risk deadlines.
- Regularly remind each team of their assigned deliverables and agreed timelines.
- Identify delays, coordination gaps, or potential risks and escalate them to the Director in a timely manner.
- Maintain and update project schedules, trackers, and status reports to ensure accurate progress visibility.
- Establish, manage, and maintain project document control systems in line with company and project standards.
- Control the issuance, receipt, distribution, and archiving of all project documents.
- Ensure proper document numbering, version control, revision tracking, and approval status for all submissions.
- Maintain and update document registers, including deliverables, changes, revisions, and transmittals.
- Ensure that only approved and latest revisions are circulated to relevant stakeholders.
- Track document submissions, reviews, approvals, and resubmissions to meet project timelines.
- Ensure all approved changes are clearly communicated and properly documented across relevant teams.
- Actively participate in interdisciplinary coordination to ensure alignment between design and execution.
- Coordinate with procurement regarding material requirements, lead times, and purchasing deadlines.
- Align design approvals, specifications, and BOQs with procurement and project schedules.
- Prepare meeting minutes and action logs, and follow up on assigned actions through to closure.
Qualifications
Education and Experience:
- Bachelor's degree in Engineering, Architecture, or a related discipline.
- Minimum of 7-10 years of experience in project coordination or similar roles.
- Proven hands-on experience working within design teams is mandatory.
- Strong understanding of design workflows and interdisciplinary coordination processes.
- Demonstrated experience working on multi-disciplinary design projects.
Knowledge, Skills and Abilities:
- Strong coordination and communication skills.
- Excellent English verbal and written communication skills.
- Ability to follow up firmly and professionally on delays and deadlines.
- Good understanding of design and project workflows.
- High organizational skills with strong attention to detail.
- Ability to manage multiple tasks and priorities simultaneously.
- Proficiency in project tracking, reporting, and documentation tools.
