Description
The Reservations Coordinator acts as the travel advisor and first point of contact for resort guests and inquiring travel professionals. A warm personality, sales mentality, and ability to multitask are all important skills necessary for the position. The Reservations Coordinator handles pre arrival planning and coordination of all aspects of the guest stay to ensure a seamless vacation experience, while maintaining current rate and package information across published sites and portals.
- Handles guest and travel trade inquiries and sells the resort’s accommodation inventory, with a high level of customer service, to accommodate guest needs and maximize revenue.
- Operates and manages inventory in the Property Management System, on channel manager, GDS, and with wholesalers
- Maintains full knowledge of all inner workings of the hotel, including room rates, hotel policies, offers, availabilities, VIP guests, hotel events, and more
- Coordinates guest requests, amenities, and arrivals with the resort’s Front Office
- Works with the front office to resolve guest accommodation complaints or discrepancies
- Coordinates travel agency payments
- Produces and analyzes reports and recommends appropriate action to maximize revenue: Daily/Weekly Reservations Booked, Call Log, and Occupancy Reports
- Coordinates group quoting, inventory, and allocations with the Director of Sales & Marketing
- Maintains an up-to-date list of travel agencies and travel agents
- Assists the Director of Sales & Marketing with production and publishing of the monthly analysis/report summarizing the month end reservations activity and other activities as assigned
- Assists in loading rates and packages in the PMS
- Assists in updating room information and photos in the booking engine
- Monitors accommodation and rate information on the website to make sure it is accurate and current
- Displays a high level of integrity and professionalism at all times in dealing with guests and travel trade
Requirements
- Dynamic, enthusiastic, and driven individual who is well-versed in call center operations, systems, and processing multiple requests across different platforms
- Proficient computer skills (Microsoft Office, PMS system, CRM)
- Excellent organizational, data analysis, judgement, listening, and time management skills
- Calm and approachable demeanor with excellent customer service and positive interpersonal skills
- Read, write, and speak English fluently
- U.S. or Dutch citizens preferred
