The University of Pittsburgh is seeking a highly organized and detail-oriented Project coordinator to join the Office of the Provost. This role is pivotal in supporting the strategic initiatives of the institution, assisting with the coordination of key meetings, and managing projects that align with the university's academic goals. The successful candidate will report to the Assistant Provost for Strategy, and work closely with the Provost's direct support team, to contribute to the seamless execution of strategic projects.
Qualifications and skills:
- Associates degree required and at least 5years of relevant professional experience;
- Proven experience managing projects, preferably in an academic or higher education setting.
- Demonstrated strength in problem-solving and critical thinking, as well as clear organizational skills and strict attention to detail.
- Excellent communication and interpersonal skills, and the ability to effectively and comfortably interact with people at a wide variety of organizational levels.
- Ability to work independently and as part of a team.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Proficiency in Microsoft Office Suite and project management software.
- Familiarity with academic structures and processes is a strong plus.

Job Summary
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
Essential Functions
- Strategic Initiative Support:
- Assist in the development and execution of multiple strategic initiatives, working with various stakeholders to align objectives and deliverables.
- Independently research potential solutions to strategic challenges and make recommendations to leadership.
- Monitor project progress and provide regular updates to senior leadership.
- Special Projects:
- Lead and execute special projects as assigned, ensuring they are completed on time and within scope.
- Collaborate with cross-functional teams to develop project plans, define project goals, and establish performance metrics.
- Facilitate the resolution of any issues or obstacles that arise during project execution, ensuring alignment with university strategic priorities and, as applicable, university policies and procedures.
- Logistics, Meeting Coordination, and Calendar Support:
- Support planning and logistics management for high-level meetings, including Academic Leadership Team (ALT) and Cabinet meetings, ensuring efficient scheduling, preparation of materials, and follow-up.
- Provide scheduling and calendar support as needed to support strategic initiatives and special projects.
- Team Collaboration:
- Collaborate with the Provost's direct support team, providing additional assistance during peak periods and high-demand projects.
- Facilitate communication and collaboration across departments to achieve strategic goals.
- As needed, draft correspondence, presentations, and reports, and contribute to the smooth operations of the Office of the Provost
