IU Housing , accommodates approximately 13,000 students in 19 residence centers. In addition to our traditional floors, we have 21 Living Learning Centers and Thematic Communities.
Job Summary
The Housing Operations and Assignments office is a dynamic group of staff who facilitate occupancy management, contract implementation and front-line service within the Office of Student Life. IU Housing staff balance customer service and student development through interactions with students and families, in a fast-paced environment.
Department-Specific Responsibilities
- Serves as a primary point of contact for housing-related questions from students, families, and campus partners via email, phone, and in-person communication.
- Manages individual cases in Salesforce Lightning Customer Relations Management (CRM) tool to track, resolve, and document student interactions.
- Responds to escalated housing assignment concerns, providing clear guidance and resolution in alignment with housing policies and procedures.
- Collaborates with Residence Life staff to ensure timely and accurate student housing assignments and placement coordination.
- Processes and tracks housing cancellation and exemption forms; conduct occupancy audits to maintain accurate rosters and reporting.
- Facilitates housing assignment and contracting processes for incoming first-year students and returning residents.
- Supports medical accommodation requests, including assignments related to ESA or Service animals and other special considerations.
- Maintains a student development-focused approach when assisting students and families with contracts, policies, and housing procedures.
- Coordinates with campus partners such as Athletics, Groups Scholars, International Programs, and Admissions to manage specialized student placements.
- Assists with oversight and accountability of hourly assignments staff, offering direction on daily processes.
- Performs duties such as attending a front desk. answering phones and email and delivering messages and mail.
- Participates in departmental committees and represent the Housing Operations and Assignments office in cross-functional initiatives.
- Assists with Living Learning Center (LLC) assignments and administrative coordination.
- Assists with administrative needs related to the daily operations, planning, and implementation of residence life initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
- Develops, monitors and oversees maintenance of databases for housing management system, parking, mail tracking, guest housing, work orders, electronic access, and key systems.
- Ensures data is accurate, complete, and up-to-date.
- Monitors and processes guest housing, damages, and storage to include reservations and billing. Oversees the preparation of various business reports.
- Assists other residence life staff, including maintenance staff, with the overall condition of the building. Follows up on maintenance and work orders to ensure timely completion; coordinates cleaning, moving, and repairs schedules.
- Responds to and resolves resident problems and issues as they arise. Serves as informational resource to residents and staff on housing policies and procedures or refers to the appropriate office.
- Provides directions, support, and information related to policies, procedures, and building rules to residents, students, faculty/staff, campus visitors, and other internal and external constituents.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
