BE THE CEO OF YOUR JOB
As the Facilities Administrator, you are responsible for coordinating processes within the Facilities Department for verifying timely completion and documentation of work orders, purchase orders, Safety Data Sheets, contractor and vendor insurance paperwork, and annual property inspections.
Your ability to own your work and drive success will make a direct impact on the communities we serve.
YOUR KEY RESPONSIBILITIES
- Possesses extensive professional knowledge and expertise in their specific function.
- Assignments and projects are in-depth and extensive in scope and complexity.
- Makes decisions within specific guidelines.
- Administrator for the Facilities work-order/purchase order system
- Oversee all Facilities related invoices within the region to verify proper entry
- Oversees the leased fleet of vehicles for the Facilities department.
- Assist Real Estate Management with budget numbers for the fleet of vehicles within their portfolio
- Organizes and enters all invoicing pertaining to leased vehicles gas and usage per building/entity.
- Completes day-to-day tracking of paperwork and data entry.
- Manages all door/fob access for tenants and employees within a specific region
- Oversees the Security Camera System within a specific region
- Manage master files including the purchase order system, completed projects, and some maintenance records.
- Manage the master calendar, generating reminders of time sensitive dates for pending projects for Facilities Management.
- Manages Facilities uniforms/clothing within a specific region
- Organize and submit all required inspections and warranties for entry into Docuware
- Review/monitor all Yardi software for Facilities
- Assists with any miscellaneous projects.

Requirements:QUALIFICATIONS REQUIRED
Education
- High school diploma or equivalent
Experience and/or Training
- Strong written and verbal communication skills
- Excellent organizational skills
- Highly motivated individual who can work with considerable independence
- Strong commitment to a team-oriented approach
Technology/Equipment
- Proficiency in Microsoft Office including Word, Excel, and Outlook
PREFERRED QUALIFICATIONS
Education
- Degree from a two or four-year college or university
Experience and/or Training
- Yardi software
MANDATORY REQUIREMENT
- U.S. Work Authorization
