- Event Coordinator
Description
Location: This position follows a hybrid flex work model based in Nashville, TN requiring in-office presence at our Franklin, TN office on Mondays or Wednesdays (ideally one day per week), with flexibility to work remotely on other days based on event schedule.
Reports to: Marketing Manager
Event Coordination & Execution (Primary Focus)
- Serve as on-site lead coordinator for North territory (Nashville, HV/Gallatin, Bowling Green)
- Execute and oversee:

- Dinner Seminars: Two-per week monthly | 5:00 pm – 8:30 pm
- Educational Workshops: Two per month | 10:00 am – 1:00 pm

- Successfully convert 60% of event attendees to a first appointment
- Manage all event logistics
- Relationship building with venue servers/staff, venue/room setup and tear down, manage attendee registration, A-V, event materials/supplies (nametags, branded collateral, event folders, RSVP list, presentation, etc).
- Call and confirm attendees prior to event, greet and check-in guests upon arrival, welcome guests and introduce advisor/presenter.
- Ensure seamless execution and a professional, engaging experience for attendees.
- Assist with event data tracking and CRM updates to ensure prospects/attendees move efficiently through the pipeline.
- Serve as key support at a variety of WFG events focusing on set-up/tear down, engaging with attendees and securing #1 appointments.
Event Strategy & Optimization (Primary Focus)
- Partner with marketing leadership to measure appointment-setting outcomes (Set 1st, Kept 1st) directly resulting from events.
- Proactively communicate insights, potential issues, and improvement ideas to leadership
- Track and report event registrations, attendance rates, and attendee engagement/quality.
- Collaborate on new ideas to increase attendance, engagement, and impact.
Community Event Initiatives
55+ Community Events:
- Actively build relationships with community/lifestyle directors at new and established 55+ communities in our North territory (Nashville, HV/Gallatin, Bowling Green).
- Identify and coordinate community events to promote the WFG brand and services (seminars, lunch & learns, wine tastings, pickleball games, etc.).
- Work to establish the WFG brand as a consistent presence and trusted source for retirement planning.
Lunch & Learn Events:
- Help coordinate an annual plan to host lunch & learns at local companies in our North territories.
- Quarterly reach out to local companies across industries to offer lunch & learns.
- Coordinate all logistics: dates/times, speaker, topic, event flow, packets, marketing collateral.
- Report results and key learnings from each event.
- Proactively look for ways to build deeper relationships with each company.
Speaking Engagements:
- Proactively find quarterly speaking engagement opportunities for advisors’ such as churches, non-profits, Chambers, men’s groups, etc to fill gaps in their calendars.

Requirements
- Bachelor’s degree in marketing, communications, business, or a related field
- Minimum of 2-4 + years of direct experience in event planning, event coordination, event marketing, or related field (financial services or professional or healthcare services preferred/a bonus).
- Must have reliable transportation and valid driver’s license to travel to event locations within assigned territory.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint, SharePoint)
- Ability to adopt new technologies easily; familiarity with CRM platforms, particularly Salesforce and Monday.com is a plus.
- Strong critical thinking and problem-solving skills, with flexibility to adapt in a fast-paced environment.
- Sales minded with strong networking skills; outgoing, engaging personality; exceptionally adept at building and leveraging connections; comfortable speaking in front of an audience and interacting with event attendees.
- Detailed oriented, strong organizational skills, and ability to manage multiple projects simultaneously.
- Excellent written/verbal communication skills.
- Problem solver who takes initiative and thrives in fast-paced environments. Comfortable working independently while contributing to a collaborative team.
- A proactive and trusted team player who takes initiative and brings new ideas and solutions when issues, blockers, or challenges arise.
- Demonstrated ability to handle sensitive information with discretion.
