Reporting to the Director of Employee Engagement, the Employment Coordinator is responsible for supporting the university's recruitment and employment processes for faculty and staff positions. This position is responsible for ensuring requests are accurate and complete, coordinating job postings, recruitment, and facilitating employment requirements such as background screenings, I-9 verification, and E-Verify. The Employment Coordinator ensures compliance with university policies, equal employment opportunity guidelines, and state and federal employment regulations.
In addition, the Employment Coordinator assists with onboarding new hires, maintaining accurate employment records, and providing guidance to departments and applicants throughout the hiring process. The role requires strong attention to detail, confidentiality, and effective communication to support the university's goal of attracting and retaining qualified talent.
Recruitment and Staffing Support
Coordinate the full-cycle recruitment process, including job postings, applicant tracking, and requisition completion.
Communicate with applicants throughout the hiring process to ensure positive candidate experience.
Onboarding and Orientation
Prepare and process new hire documentation and employment offers.
Coordinate pre-employment requirements (background checks, drug screenings, references, etc.).
Facilitate new hire orientations and ensure smooth transitions into the organization.
Employee Engagement
Assist in organizing and executing employee engagement programs, events, and activities (e.g., appreciation events, wellness initiatives, volunteer opportunities).
Support employee recognition programs, including service awards and spot recognitions.
Help maintain a calendar of engagement activities and track participation.
Analyze employee feedback and engagement data to identify trends and recommend actionable improvements.
Support communication efforts to promote HR programs, internal events, and organizational updates
Work closely with managers and departments to enhance workplace culture and address employee concerns.
Professional Development
Coordinate the scheduling, registration, and delivery of professional development and training programs for employees at all levels.
Assist in assessing training needs through surveys, performance feedback, and collaboration with supervisors and department heads.
Support the creation and maintenance of learning materials, online course content, and professional development resources.
Track and maintain training records, participation data, and program evaluations to measure impact and compliance.
Communicate available learning opportunities through internal channels such as newsletters, email, and the HR website.
Collaborate with external vendors, consultants, and professional organizations to source and deliver development opportunities.
Support leadership and staff development initiatives, including mentorship and performance improvement programs.
Stay current with trends and best practices in employee learning, training technology, and organizational development.
HR Administration and Recordkeeping
Maintain accurate and confidential employee records.
Ensure compliance with legal and university requirements for employment documentation (I-9, EEO, etc.).
Track employment changes, transfers, promotions, and terminations.
Compliance and Policy Support
Support compliance with federal, state, and local employment laws and university policies.
Assist in audits related to employment records, hiring practices, and onboarding processes.
Monitor and report on recruitment metrics and diversity initiatives as required.
Employee and Manager Support
Serve as a point of contact for HR inquiries related to job postings, applications, and employment status.
Provide guidance to employees and managers on employment-related processes and procedures.
Job Requirements:
Bachelor's degree in Human Resources, Business Administration, or a related field required.
Two (2) or more years of experience in human resources, recruitment, or employment coordination preferred.
Experience in a higher education or public-sector environment is desirable.
Understanding of recruitment processes, employment laws, and compliance standards.
Familiarity with applicant tracking systems (ATS) and HR information systems (HRIS).
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information professionally.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
