Position Overview
The Chicago Urban League is seeking a full-time Database Administrator to expand the data operations efforts and capacity of the Development Team, ultimately leading to increased revenue for programs, initiatives, and the organization at large.
The Development Database Administrator is responsible for maintaining, managing and preserving the integrity of the donor database (Raiser’s Edge). He/She tracks revenue through constituent data entry and management, gift processing and acknowledgement in an accurate and timely manner with a sharp focus on stewardship. This stewardship focus will include establishing a productive partnership with the Development Team’s Grants Manager to document/track formal thank you letters from CUL executive staff in addition to standard gift acknowledgement.
The person in this role will work closely with frontline fundraisers to ensure that donor portfolios are continually updated, with a focus on Raiser’s Edge tabs related to managing donor relationships, tracking interactions, and monitoring progress towards goals.
Responsibilities
Manage data in Raiser’s Edge donor database to ensure record accuracy and completeness:
Create and update constituent records
Record donations and pledges accurately utilizing appropriate appeal codes
Generate donor acknowledgement letters and gift receipts for cash and in-kind contributions within the required timeframe
Maximize the functionality of the donor database by identifying and implementing best practices to most effectively manage all stakeholder data
Produce weekly gift and pledge reports for Development Team analysis
Create queries, exports and customized reports for development and organizational purposes
Develop and deliver ongoing stewardship reports to facilitate a donor-centered approach to enhance retention and upgrades
Use experience and discretion when determining donor pipeline recommendations to inform portfolio adjustments
Track, measure, and monitor donor giving pyramid and moves management system to enhance annual giving as well as overall portfolio management and stewardship
Develop and deliver a system for revenue tracking, reporting, and forecasting which supports informed strategic decision making
Provide Raiser’s Edge training and technical support to staff
Serve as primary liaison on behalf of the Development Team with finance and accounting staff to ensure gift reconciliation, donor care policies, processes and procedures are maintained, updated, and adhered to
Act as the primary lead for donor database projects, updates, and conversions, including but not limited to planning, implementation, and training of chapter staff
Undertakes projects, as required, and performs other related job duties, as assigned
ADDITIONAL DETAILS
The Development Database Administrator primarily works in a hybrid office environment, Monday - Friday during normal business hours. He/She should also be available to support special events on evenings and weekends, as needed.
Requirements
Education and Experience
Bachelor’s degree in business or related field or any combination of relevant
Experience and education that would contribute directly to the position
Two to three years of database management or related experience required. Experience with Raiser’s EdgeNXT (or other CRM system) desired.
Proficiency with Microsoft Office applications, particularly Excel, Word, and mail merge functions
Demonstrated ability to work with a high level of accuracy and manage confidential and sensitive information
Excellent organizational, communication, interpersonal and time management skills
Focused on providing excellent customer service to donors, external partners, and staff
Proven ability to work both independently and as part of a team, is self-motivated and proactive
Meticulous record-keeping skills and detail-oriented approach
Experience working in a fast-paced environment while maintaining high personal standards for the quality of output
Strong critical-thinking skills, with the ability to understand high-level strategic objectives, as well as, the tactical details critical for their success
Ability to solve problems independently and collaboratively, exercising good judgment while balancing competing priorities
Ability to simultaneously manage short-term and long-term plan and goals
Highly professional demeanor with the ability to work successfully with a wide array of constituents, including funding partners, board members, program staff, and other stakeholders
Aptitude with Raiser’s Edge (or comparable CRM), Microsoft Word, Excel, Outlook and PowerPoint
