JOB TITLE: Box Office Coordinator
JOB TYPE: Part-time, non-exempt
REPORTS TO: Donor & Patron Services Manager
SUMMARY: The Box Office Coordinator is often the first point of contact for LexPhil patrons and plays a critical role in ensuring a positive and seamless experience for audiences. This position manages ticketing transactions, produces regular sales reports, and maintains accurate patron records in PatronManager. The regular work schedule for this position is on-site Tuesdays and Thursdays, with additional evening and weekend hours required for concerts and events.
Someone who is passionate about helping audiences and donors have positive experiences with live orchestral music will love this job. The Coordinator helps patrons understand what to expect at a LexPhil event, making our concerts approachable to die-hard music fans and first-time attendees alike. They provide kind, concierge-level service that builds confidence for those experiencing barriers to participation and foster long-term loyalty by building relationships rather than simply completing transactions.

PRIMARY DUTIES & RESPONSIBILITIES
PATRON SERVICES (65%)
- Process ticket orders received via phone, online, and at events, ensuring accurate fulfillment and data entry.
- Build out and manage ticketed events, and free events that require registration in PM; strategically design corresponding online Public Ticketing Site (PTS) purchase path, which is what patrons see when they view ticketing options online.
- Provide concierge-level customer service to patrons, resolving routine questions and concerns with professionalism and care.
- Communicate event details, venue policies, and accessibility accommodations clearly to patrons.
- Assist with subscription renewal campaigns through outreach, processing, and patron follow-up to strengthen long-term relationships.
- Manage the distribution of complimentary tickets and/or gift certificates to approved recipients.
- Support Front of House operations on concert days by assisting with will call, ticket scanning, and other patron service needs.
DATA & REPORTING (20%)
- Receive and track results from subscriptions, ticket sales, events, and other revenue generating activities. Produce weekly ticket and subscription sales reports, including contributions to Board reports.
- Maintain high standards of patron data hygiene; update records promptly and ensure accuracy across PatronManager.
- Ensure ticketing and patron data supports donor pipeline and campaign reporting.
ADMINISTRATIVE SUPPORT (15%)
- Assist with routine office functions, including supply procurement, ticket benefit fulfillment, and mailings (e.g., ticket packets, donor thank-you letters, etc).
- Respond to general inquiries by phone, email, or in person, ensuring messages are routed appropriately.
OTHER DUTIES
- Attend and work Lexington Philharmonic concerts and events as scheduled.
- Participate as a member of the LexPhil staff team in the implementation of programs and activities.
- Other job-related duties as assigned to support the Philharmonic’s mission.
Requirements
REQUIRED QUALIFICATIONS
- High school diploma or equivalent
- Residency in or around Lexington, Kentucky
- Ability to work evenings and weekends for concerts and events
PREFERRED QUALIFICATIONS
- Prior experience in customer service, box office operations, or related fields
- Familiarity with CRM systems (PatronManager or similar)
- Strong communication and interpersonal skills
- Organized, detail-oriented, and able to manage multiple priorities
- Comfort with handling cash and credit card transactions accurately
- Commitment to providing inclusive and accessible patron experiences
